Bid Coordinator
An exciting opportunity to join our team at Peritas as a Bid Coordinator!
As a Bid Coordinator at Peritas, your duties will include:
Bid & Proposal Coordination
Coordinate the end-to-end bid process from opportunity identification through to submission.
Coordinate bid schedules and deadlines, ensuring all contributors deliver inputs on time.
Organise and facilitate bid kick-off meetings, progress meetings, and review sessions.
Track proposal progress and follow up with technical teams for required information.
Maintain the bid register and pipeline of opportunities.
Proposal Preparation & Documentation
Compile and format Expressions of Interest (EOIs), Requests for Tender/Proposals/Quote (RFT/P/Qs), and proposals.
Ensure documents follow client requirements, formatting standards, and submission instructions.
Edit and proofread submissions for clarity, consistency, and quality.
Prepare in conjunction with marketing department supporting documents such as:
CVs of key personnel
Project case studies
Capability statements
Methodology sections
Maintain proposal templates and standard content.
Compliance & Governance
Review tender documentation to identify compliance requirements.
Develop and maintain compliance matrices and submission checklists.
Ensure all mandatory forms, certifications, and supporting documents are included.
Confirm submissions comply with client procurement rules and portals.
Maintain procurement platforms with necessary certificates, policies and other Peritas related information.
Stakeholder Coordination
Liaise with internal & external teams to gather inputs.
Coordinate with subconsultants and partners for joint submissions.
Act as the central point of contact for internal bid communications.
Submission Management
Coordinate/Prepare final submission packages for electronic tender portals or email submissions.
Manage version control and document management during the bid process.
Ensure bids are submitted before deadline and in the correct format.
Archive completed submissions for future reference.
Post-Bid Activities
Coordinate post-submission clarifications with clients.
Assist in organising interview presentations or shortlisting materials.
Record outcomes and support lessons learned / bid debriefs.
Market & Opportunity Support
Monitor tender portals and procurement platforms for new opportunities.
Assist leadership in tracking potential projects and maintaining the opportunity pipeline.
Support preparation of capability statements and marketing material for business development.
